Which medium is the most suitable depends on the respective information and the application. An overview of all communication media, including their applications and characteristics, is presented here. In summary, efficient communication is actually very simple:
- News feeds in intranets and employee apps enable cross-team communication, which should be used for all news due to personalization, interaction and knowledge management, etc.
- The email is an electronic letter that should be used for formal, personal communication (e.g. communication with external business partners)
- Chats enable real-time communication and should be used for informal, intra-team exchange in relatively small groups
Nevertheless, the practice is usually completely different: In many companies, for example, news is communicated on a wide variety of channels because every department does it differently — via e-mail, newsletter, PDF file, intranet, notice, etc. In order to reach as many employees as possible, the news is then often published twice and three times in different media instead of bundling it into a suitable system.
The reason for this chaos is often the lack of:
- Suitable communication media: either there is no intranet or employee app or they are not simple and attractive enough
- Know-how: There is often a lack of confusion as to which communication medium is suitable for which application
- Energy: Even if the knowledge and communication media are available, many companies lack the energy to address the issue in a structured and sustainable manner and to bring all necessary people on board
- Habit: In a corporate context, all employees (and therefore a very large group of people) must be reached, which makes it more difficult to get used to it. If news and chat tools are not introduced consistently and successfully, there is a risk that people will continue to email everyone or chat on WhatsApp
